Purpose of this Policy

This Policy aims to give you information on how the Company collects and processes your personal data through your use of our website, including any data you may provide through our website when you sign up to our newsletter, purchase a product or take part in a competition.

What is the minimum age to use our website?

Our website is not intended for children (under 18 years old) and we do not knowingly collect data relating to children.

If proof comes to the attention of the Company that an individual user is under the age of 18 years, and is accessing our website and/or products without the consent, approval or authorisation of their parents or legal guardian, the Company will immediately terminate such user’s account.

 

What personally identifiable information does the Company collect and how is it used?

Personal data, or personal information, means any information about an individual from which that person can be identified. It does not include data where the identity has been removed (anonymous data).

When you visit, register or order products via our website you may be asked to provide certain personal data.

  • Financial Data includes financial and payment data (held in encrypted / tokenised format only as the full data is held by our third-party payment providers).

  • Marketing and Communications Data which includes your preferences in receiving marketing from us and our third parties and your communication preferences.

We do not collect any Special Categories of Personal Data about you (this includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health and genetic and biometric data). Nor do we collect any information about criminal convictions and offenses.

We also collect, use, and share Aggregated Data such as statistical or demographic data for any purpose. Aggregated Data may be derived from your personal data but is not considered personal data in law as this data does not directly or indirectly reveal your identity. For example, we may aggregate your Usage Data to calculate the percentage of users accessing a specific website feature. However, if we combine or connect Aggregated Data with your personal data so that it can directly or indirectly identify you, we treat the combined data as personal data which will be used in accordance with this Policy.

 

If you fail to provide personal data

Where we need to collect personal data by law, or under the terms of a contract we have with you and you fail to provide that data when requested, we may not be able to perform the contract we have or are trying to enter into with you (for example, we may not be able to provide the products that you have ordered from us). In this case, we may have to cancel an order for a product that you have made with us (and our standard cancellation terms will apply)but we will notify you if this is the case at the time.

    • Identity, Contact, Technical and Profile Data from advertising and marketing companies such as Epsilon International UK Limited (trading as Epsilon Abacus) and Conexance (trading as i-Behaviour).

Klarna

Email Marketing

The Company regularly sends out a Newsletter via email (hereinafter "Newsletter") to all existing customers (unless they have ‘opted-out’ of receiving such communications. If you are not an existing customer, you can sign up to receive our Newsletters by opting in at Sosandar.com. In these Newsletters, we may inform you about new features from Sosandar and about the upcoming week’s events or special promotions.

You may choose to unsubscribe from the Newsletter at any time by pressing the unsubscribe link in the footer of our emails.

 

Marketing by Mail

We also contact you by post to let you know of our new collections and any offers we may be running. This will usually be in the form of our latest brochure. If you're an existing Sosandar customer we will send you our brochure (unless they have ‘opted-out’ of receiving such communications). If you are not an existing customer, you may also sign up to receive a brochure at https://www.sosandar.com/brochure/signup/. 

If at any time you wish to no longer receive any mailings from us, you can unsubscribe at any time either using the My Account section of the website, or if you don't have an account with us, you can easily unsubscribe by completing our unsubscribe form. When we unsubscribe you, you may still continue to receive mailings for up to 28 days while we process your request.


Postal marketing by other companies

We may share your personal data with carefully selected retail companies and charities who we feel may be of interest to you so that they can send you a copy of their brochure or other marketing by post. If you wish to opt out of third-party mailings, you can do so at any time either using the My Account section of the website, emailing [email protected], or calling us at 0333 305 2866.

 

Opting-out

If you unsubscribe or opt out of communications from us, we are not responsible for removing personal data from the lists of any third-party partner or advertiser who has previously been provided your information in accordance with this Policy and with your consent.

Where you opt out of receiving these marketing messages, this will not apply to personal data provided to us as a result of a product purchase, warranty registration, product/service experience, or other transactions.

 

Disclosure of your personal data

The personal data you provide to us may be accessed by or given to third parties who act for us for the purposes set out in this Policy or for other purposes approved by you. Those parties process information, fulfill and deliver orders, process credit card payments, and provide support services on our behalf.

In order to identify new customers for our business, we are a member of a number of co-operatives of retail brands in the UK. For this purpose, we work with Epsilon International UK Ltd (trading as Epsilon Abacus) and Conexance (trading as i-Behaviour), both of which are companies that allow retailers and charities who are members of the cooperative to pool and share certain information relating to their customers. The member retailers are active in the clothing, collectibles, food & wine, gardening, gadgets & entertainment, health & beauty, household goods, and home interiors and travel categories.

We share certain information with Abacus / i-Behavior relating to what our customers buy (including Identity, Contact, and Transactional Data). Epsilon Abacus / i-Behaviour use this information in order to build a profile of our customers and combines this with the information that they have received from other member retailers in order to identify suitable prospects to receive an introduction from us via the post. Abacus / i-Behavior may share some personal data belonging to our customers (limited to name and postal address) with other retailers who are members of the cooperative, where they have identified that the relevant customer may be interested in receiving an introduction to the other member retailers by post.

In addition to the above, we may also share your personal data with the following third parties in the following circumstances:

  • with third parties to whom we may choose to sell, transfer, or merge parts of our business or our assets. Alternatively, we may seek to acquire other businesses or merge with them. If a change happens to our business, then the new owners may use your personal data in the same way as set out in this Policy.
  • if we are under a duty to disclose or share your personal data in order to comply with any legal or regulatory obligation or request;
  • to enforce or apply our terms and conditions or to investigate potential breaches; and/or
  • to protect the rights, property, or safety of the Company, our customers, or others. This includes exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction.

Many of our external third parties are based outside the UK or European Economic Area (“EEA”) so their processing of your personal data will involve a transfer of data outside the EEA.

The only personal data that may be shared between Sosandar and one of our partner websites is that which pertains to information used in the furtherance of tracking an order and providing you with correct information regarding same.

Order information, including order numbers and amounts, may be available to Sosandar, affiliate merchants, and third-party affiliate program management companies, for accurate tracking purposes. We will not release this information to other parties unless you request it.

We display banners and other advertising on our website, from Google and other third parties, that may place and read cookies on your browser, or use web beacons to collect information in the course of advertisements being served. If you are concerned about your privacy regarding these advertisements, please refer to Google’s (or other third party) privacy policies.

 

What about data security?

We employ security measures to protect, so far as reasonably possible, your personal data from access by unauthorised persons and against unlawful processing, accidental loss, destruction and damage. We will retain your information for a reasonable period or as long as the law requires or permits.

Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our website; any transmission is at your own risk.

We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.

We will try to respond to all legitimate requests within one month. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.

 

How long will you use my personal data for?

We will only retain your personal data for as long as necessary to fulfill the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements.

By law, we have to keep basic information about our customers (including Contact, Identity, Financial, and Transaction Data) for 6 years after they cease being customers for tax purposes.

In some circumstances, we may anonymise your personal data (so that it can no longer be associated with you) for research or statistical purposes in which case we may use this information indefinitely without further notice to you.
